Terms & Conditions - Echodrums Tours & Safari Limited
Welcome to Echodrums Tours & Safari Limited. By booking a safari or using our services, you agree to comply with and be bound by the following terms and conditions. Please read them carefully before making a reservation.
1. Booking and Payment
Booking Confirmation: A booking is confirmed only upon receipt of a deposit (typically 30-50% of total cost) and our written confirmation via email.
Payment Schedule:
- Deposit: Due at time of booking
- Balance: Due 30 days before safari departure date
- Late bookings (less than 30 days): Full payment required at booking
Payment Methods: We accept bank transfers, credit/debit cards (Visa, Mastercard), and mobile money (M-Pesa, Airtel Money).
2. Cancellation Policy
By Client:
- More than 60 days before departure: 50% refund of deposit
- 30-60 days before departure: 25% refund of deposit
- Less than 30 days before departure: No refund
By Echodrums Tours: In the unlikely event we cancel your safari due to circumstances beyond our control (natural disasters, political unrest, etc.), we will offer a full refund or alternative dates.
3. Travel Documents and Insurance
Passports & Visas: Clients are responsible for ensuring valid passports (minimum 6 months validity) and obtaining necessary visas for Kenya, Tanzania, or other destinations.
Travel Insurance: We strongly recommend comprehensive travel insurance covering medical emergencies, trip cancellation, evacuation, and personal liability. Echodrums Tours is not liable for costs arising from uninsured incidents.
4. Health and Safety
Medical Requirements: Clients must inform us of any medical conditions, allergies, or dietary requirements at booking. Yellow fever vaccination may be required for entry into Kenya.
Safari Risks: Wildlife safaris involve inherent risks. Clients must follow guide instructions at all times. Echodrums Tours is not liable for injuries resulting from failure to follow safety guidelines.
Travel Advice: Clients should consult travel health clinics regarding malaria prophylaxis and other health precautions.
5. Itinerary Changes
While we make every effort to adhere to published itineraries, Echodrums Tours reserves the right to alter routes, accommodations, or activities due to:
- Weather conditions
- Road conditions
- Wildlife movements
- Lodge availability
- Force majeure events
We will provide comparable alternatives when changes are necessary. No refunds will be given for itinerary modifications made for safety or operational reasons.
6. Wildlife Sightings
Wildlife viewing is subject to nature and cannot be guaranteed. Echodrums Tours does not guarantee sightings of specific animals (including the Big Five). Refunds will not be issued for unseen wildlife.
7. Accommodation
Accommodation is based on shared twin/double rooms unless single occupancy is booked (at additional cost). Triple rooms may have limited availability. Specific room requests are noted but not guaranteed.
8. Vehicle and Transport
All safaris are conducted in well-maintained 4x4 safari vehicles with professional drivers. Vehicle breakdowns may occur; we will provide replacement transport as quickly as possible. Delays due to mechanical issues do not entitle clients to refunds.
All our vehicles are insured according to I.A.T.A International standards and laws of Kenya.
9. Luggage and Personal Property
Luggage allowance is typically 15kg per person in soft bags (no hard-shell suitcases on safari). Echodrums Tours is not responsible for loss, theft, or damage to personal property. Valuables should be secured in lodge safes.
10. Behavior and Conduct
Clients must conduct themselves responsibly and respect local cultures, wildlife, and fellow travelers. Echodrums Tours reserves the right to remove clients from safari without refund if their behavior endangers others or violates park regulations.
11. Photography and Drones
Photography for personal use is permitted. Commercial photography requires special permits. Drones are prohibited in all national parks and reserves without authorization.
12. Complaints
Any complaints must be reported immediately to your guide or our office so we can address issues promptly. Written complaints after safari completion should be submitted within 30 days.
13. Liability Limitation
Echodrums Tours & Safari Limited acts as an agent for lodges, transport providers, and other service suppliers. We are not liable for acts, omissions, or defaults of third-party providers beyond our direct control.
Our maximum liability is limited to the total safari cost paid by the client.
14. Governing Law
These terms are governed by the laws of Kenya. Any disputes shall be resolved in Kenyan courts.
15. Children
Children aged 2-12 years are entitled to 25% discount both on air safaris or road safaris if they're with adults.
